- AA Degree, BA preferred, or a combination of related training, education or experience may be substituted for degree
- Demonstrated experience and evidence of accuracy, speed, and proficiency using the MS Office suite: word processing, presentations, spreadsheets, and electronic calendar
- Minimum of 3 years’ progressively responsible level secretarial experience
- Excellent understanding and management of school and district-based budget, and understanding of State and Federal Grants
- Excellent organizational skills
- Ability to exercise sound judgment to set priorities, schedule, and coordinate multiple complex tasks; ability to meet deadlines and manage projects with excellence
- Excellent verbal and written communication skills; demonstrates ability to communicate clearly and effectively with staff, students, and patrons
- Excellent public relations and customer service skills; must enjoy working with and serving the public
- Demonstrated ability to establish and maintain professional, cooperative working relationships
- Demonstrated punctuality and an excellent work attendance record
- Valid Washington State driver’s license and reliable transportation
- Ability to follow safe work practices and procedures
- Ability to work within designated bounds of authority and confidentiality; demonstrated ability to maintain confidentiality of sensitive situations and records

- Experience working in a K-12 environment

SPECIFIC DUTIES AND RESPONSIBILITIES:
- Supports the Assistant Superintendent in duties related to school supervision, leadership training, and supporting schools; Manages the departmental calendar for multiple administrators
- Manages budgets and school-based grants; processes purchasing cards, travel, accounts receivable and payable; generates budget reports and coordinates budget changes with the fiscal department.
- Support with the principal hiring processes, scheduling evaluations, and managing documents
- Support Administrative Intern Program; organizing recruitment meetings, application process, and coordinating interviews
- Support with graduation planning by working with high schools
- Support the responsibilities and duties of a district athletic director; coach contracts, district athletic budget management
- Serves as key communicator for the district related to personnel and staff; acts as a liaison between department administrators, schools, families, and the public; maintains excellent communication and public relations
- Receives telephone calls from school and parents; able to problem-solve and make referrals to the appropriate person
- Responds to inquiries and concerns expressed by building principals and other administrators
- Manage and support the projects and initiatives the Assistant Superintendent oversees; attend and take minutes of meetings if necessary.
- Executes travel arrangements for the Assistant Superintendent and members of the department, including reservations, registrations, travel authorizations, travel reimbursements, and any other duties related to travel
- Coordinates meetings and organizes preparations necessary for conferences and training for the assistant superintendent and the department.
- Prepares items of business for the Board of Directors meeting packets
- Gathers information and prepares reports as needed by the department
- Assists with the development of and handles special projects of professional importance to the Schools department
- Assists with the preparation of grant applications and end-of-year reports
- Performs other related duties as assigned
