The ideal candidate will be polished, service-oriented, and experienced in a legal or corporate environment. This role is key to ensuring a welcoming, efficient, and professional front office experience for clients, attorneys, and visitors alike. This is an excellent opportunity for someone who thrives in a high-performance environment and takes pride in delivering white-glove service in a fast-paced law firm setting. This role will be on-site, Monday-Friday.Key Responsibilities:

  • Greet and welcome clients, visitors, attorneys, and vendors with professionalism and courtesy
  • Answer and direct incoming calls using a multi-line phone system; take detailed messages when needed
  • Coordinate visitor check-ins, maintain a neat and organized reception area
  • Manage conference room scheduling and assist with meeting preparation (A/V, catering, materials, etc.)
  • Receive and distribute incoming mail, packages, and deliveries
  • Coordinate courier services and manage outgoing mail and overnight shipments
  • Maintain office calendars and assist with internal communications regarding events and schedules
  • Provide general administrative support to office staff as needed (e.g., scanning, filing, data entry)
  • Liaise with building management, security, and vendors when necessary
  • Uphold confidentiality, discretion, and a high standard of client service at all times

Qualifications:

  • Minimum 2 years of experience in a law firm, professional services, or corporate reception environment
  • Excellent verbal and written communication skills
  • Professional demeanor and appearance
  • Strong organizational and time-management skills; attention to detail
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to handle sensitive matters and maintain confidentiality
  • Positive, polished, and service-driven attitude
