Position PurposeTo manage, oversee and coordinate all administrative functions of the department/program, including prioritization of multiple activities. To advise and support the Chair and faculty on programmatic and administrative matters, ensuring efficient, accurate and timely operations and sound fiscal management.

  • At least 2-4 years relevant experience in a highly autonomous setting.

  • Develops, manages and reports on department/program budget within parameters set by DOF Fiscal Office including operating accounts, gifts and endowments.

DescriptionFinancial Management

  • Oversees, reconciles, and reports on all financial matters for the department.

Percentage Of Time 10%
DescriptionFaculty Support

  • Coordinates and organizes faculty searches, visiting and research faculty appointments, tenure cases, annual reports and other internal department/program support.

DescriptionCurriculum Support

  • Assists chair with teaching course schedule, coordinates cross-listing of courses, communicates requirements to students, tracks majors and minors, acts as liaison for department with Registrar’s Office.
  • Serves as liaison with the appropriate Associate Dean of Faculty regarding faculty teaching schedules and course counts.

DescriptionCommunications

  • Serves as the primary point of contact representing the program to the institution and external constituencies, including maintaining the website, social media and newsletters as well as coordinating stewardship efforts.

DescriptionEvent Coordination

  • Responsible for the management, coordination and implementation of all department events including department meetings, lectures, workshops, conferences, faculty, guest speakers, student presentations, open houses, social gatherings, alumni events and seminars.

DescriptionInformation Management

  • Adhering to institutional policies and procedures, maintains a comprehensive array of manual and electronic records such as inventories, budgets, majors/minors records, student information and personnel files, determines retention and disposition for specific information not otherwise covered by institutional policies.

DescriptionFacilities

  • Facilitates facilities matters such as lab renovations and building improvements as well as general maintenance issues and upkeep, office space assignments and access issues.

Percentage Of Time 5%
DescriptionHuman Resources

  • Hires, trains and supervises and evaluates administrative assistant and student employees according to department/program administrative structure.
  • Works with faculty on HR issues such as staff hiring, performance management, compensation and terminations.

Percentage Of Time 5%— Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
— Performs other duties as assigned.
