Description: Job Description:POSITION GOAL:Position is responsible for assuring the effective and efficient operation of the counselor task, such as scheduling appointments, sending transcripts and failure letters, etc.GENERAL QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Possess an appropriate level of education and experience to perform the essential duties relative to the position.
  • Ability to comprehend, analyze and interpret technical procedures, governmental regulations, safety manuals, etc. and to generate routine reports and correspondence pertinent to the essential job duties.
  • Ability to communicate and to demonstrate interpersonal skills effectively in dealing with students, staff, parents, community members, and educational agencies as related to performance of the duties of the position.
  • Ability to interpret and to carry out instructions furnished in written, oral, diagram, or schedule form.
  • Ability to perform routine tasks cooperatively and to adjust to interruptions, variables, or changes in standardized situations.

SPECIFIC QUALIFICATIONS:

  • Must possess a High School diploma.
  • Satisfactory completion of pre-employment testing.
  • Must possess and demonstrate appropriate personal computer technology skills and related software utilization.
  • Individual must be able to prioritize projects and manage multiple tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greets all visitors courteously, determines their needs, answers their questions, and directs or escorts them to proper person.
  • Answers office telephones and responds appropriately to requests for information. Makes telephone calls as directed for High School Counselors.
  • Types/copies a variety of material, such as letters, memos, and reports.
  • Maintains a comprehensive filing system.
  • Operates office equipment as necessary.
  • Receives and routes all incoming mail and outgoing mail.
  • Responsible for handling all necessary work related to college placement of students emanating from the Counseling Department.
  • Sends failure letters for students at the end of marking periods, as necessary.
  • Withdraws students from student information system. Sends staff-wide communication about withdrawn students.
  • Collects withdrawn students’ cumulative files. Record information in an electronic format.
  • Requests official records for incoming students and those transferring to other schools.
  • Coordinates with the registration department to facilitate new student appointments.
  • Handles all transcript requests including archived transcripts.
  • Works with Pupil Services to send residency reprove communication.
  • Schedules student attendance improvement meetings for counselors.
  • Performs other related duties as may be assigned or necessary for an efficient operation.
